The Brunswick Downtown Association is currently seeking applicants for a full time, salaried Membership and Events Coordinator.  The successful applicant will be enthusiastic, organized, and deadline-driven, whose primary responsibilities include management and recruitment of members and volunteers, planning and implementing events,and working closely with a team dedicated to the health and vitality of downtown Brunswick.. This dynamic position requires strong writing and communications skills and the ability to juggle several projects at once while meeting deadlines.  See below for a full job description.

Brunswick Downtown Association – Membership & Events Coordinator

Primarily responsible for:

Membership Recruitment & Retention & Membership Database Maintenance

  • Maintain web-based membership database 
  • Attend monthly Membership committee meetings
  • Distribute “New Member” information packets
  • Assist with membership recruitment through personal outreach, referral follow-up
  • Develop membership appreciation program
  • Develop working relationship with core downtown businesses to be their advocate
  • Host monthly Retailer Meetings: identify hot topics & seek informative guest speakers
  • Create bi-weekly blog “Membership News & Updates” articles

Event Planning & Implementation

  • Assist in the creation of new and existing events serving as the principal organizer and liaison with vendors, volunteers, BDA staff, Town of Brunswick
  • Be the primary facilitator for all BDA events including equipment movement for each
  • Work with Town of Brunswick Parks & Recreation and Public Works for event needs including scheduling of the Mall, trash receptacles, traffic cones, leaf removal, etc.
  • Participate on the Events Committee aiding with event logistics
  • Provide periodic progress reports and budget updates to Executive Director for each event
  • Establish and maintain records for each event, including participating businesses and organizations, volunteers
  • Establish and maintain relationships with vendors and venues
  • Establish a system of measurables to track success/failure of each event
  • Primary liaison for the BDA annual auction including committee chair

Marketing

  • Assist the Marketing Committee and the Marketing & Communications Coordinator as needed.
  • Assist in the coordination of distribution of promotional material locally, regionally, and statewide
  • Work with Marketing & Communications Coordinator to determine advertising opportunities.   
  • Social Media postings for the Brunswick Visitor Center
  • Collaborate with Marketing Coordinator to maintain Constant Contact email database

Visitor Center

  • Assist with staff management at the Brunswick Visitor Center and fill in when needed
  • Recruit Visitor Center poster and rack card advertisers and maintain database of current 
  • Manage the wall poster advertising including invoicing & soliciting for any open spaces
  • Maintain & troubleshoot technology issues 
  • Coordinate collection & distribution of travel brochures & maps

Office Management/Administration (many items are team efforts) 

  • Answer telephone as an ambassador of the BDA
  • Supplies ordering
  • Organize event supplies; maintain inventory as needed
  • Manage mail and telephone correspondence as well as walk-in inquiries
  • Trouble-shoot office equipment and other office related problems
  • Be a knowledgeable resource on the BDA and the Main Street Program
  • Work in collaboration to communicate with and support the Visitor Center

Volunteer Management

  • Create and maintain a database of volunteers for each BDA event and program as required
  • Solicit volunteers for events as needed using Signup Genius and/or email contact
  • Work with Visitor Center staff on their volunteer recruitment efforts
  • Follow up with volunteers after every BDA event/program to show appreciation and collect feedback

Other Duties as Assigned

Required knowledge, skills, and abilities: 

  • Excellent verbal, written, and interpersonal communication skills 
  • Ability to meet and deal with the public in an effective, diplomatic, and courteous manner 
  • Strong organizational skills 
  • Ability to work independently 
  • Must be physically able to lift & carry heavy equipment as needed (up to 50 pounds)
  • Proficiency with MS Office  (e.g., Word, Excel, and PowerPoint) and email management capabilities, including Constant Contact
  • Extensive experience with Internet, including online social networking/marketing (e.g., Facebook)
  • Planning and managing events and projects
  • Must be enthusiastic and physically capable to perform essential functions, as required 

Preferred knowledge, skills and abilities

  • Familiarity with issues relating to downtown business and property owners, public agencies, and community organizations 
  • Experience with Downtown Brunswick and Main Street program
  • Volunteer recruitment and management 
  • Fundraising
  • Experience with Word Press

Education and Experience

Two- or Four-Year degree preferred or equivalent business experience in event management, customer service and public relations.  

Work Hours, Reporting and Salary

This is a full-time salaried position.  Weekend and evening work is required. 

Direct supervision by BDA Executive Director. 

Salary range is $50 – $55K and is commensurate based on skills and experience.
